This is a contractor role with the following scope of services

Recruitment & Outreach  

  • Support the development and execution of recruitment strategies to attract diverse, mission-aligned applicants.  

  • Coordinate and participate in outreach activities such as virtual events, information sessions, and networking opportunities.  

  • Keep recruitment materials up to date and ensure consistent messaging across all platforms.  

  • Create social media posts to promote the program and create a schedule with topics on what will be shared relevant to the program, to develop interest 

Application Management  

  • Serve as the primary contact for prospective applicants, responding to inquiries via email, phone, or virtual meetings.  

  • Review applications for completeness and eligibility before forwarding them to the selection committee.  

  • Maintain accurate and organized applicant records in the program database.  

  • Communication & Follow-Up  

  • Draft and send timely, professional emails to applicants at each stage of the process (acknowledgements, interview invitations, acceptance/rejection notices, onboarding instructions).  

Meetings

  • Contractor will be invited to weekly meetings where information pertinent to their deliverables will be shared.

  • May be asked to attend national gatherings across the country to support the Program Director.

Onboarding Support  

  • Assist in preparing orientation schedules and materials for new fellows.  

  • Track the completion of onboarding requirements (forms, bios, photos, agreements).  

  • Collaborate with the Strategic Engagement Coordinator and Finance Team on processing travel reimbursements for fellows and faculty. 

  • Work with the Program Director to upload and update the launch booklet (photos, bios, etc.).  

Administrative & Program Support  

  • Maintain organized recruitment and application files.  

  • Provide regular updates to program leadership on applicant status and recruitment progress.  

  • Keep our grad list updated 

  • Help with coordinating the book project and following up with authors.

  • May need to support and attend Zoom sessions when the lead team is unavailable.

  • Maintain contact and follow-up with program faculty.

Launch Weekend  

  • Coordinate with the team to ensure all checklist items are completed i.e. hotel secured, site logistics confirmed, transport for Fellows (if in Charlotte), etc.  

  • Virtual Session Coordination & Communication 

  • Send weekly updates to cohorts via email or Constant Contact about upcoming session ensuring they have links and know the topic to be discussed. Any homework given or reading material shared.   

  • Share relevant information and updates on Mighty Networks and other apps used in program.   

Application Period Coordination  

  • Monitor applications and review and discuss with the Director for program acceptance.

  • Accept approved applications and communicate with prospective fellows on items needed after the acceptance letter is sent.  

  • Send Tech grant invoices to Accounts Payable.  

Evaluations  

  • Collaborate with the leadership team to design and develop surveys/evaluations on Survey Monkey.  

  • Distribute the evaluations to participants and follow-up to ensure maximum participation and collection of stories and testimonials.  

The scope of services outlined above is not intended to be an exhaustive list of all duties, responsibilities, or activities that may be required. Contractors may be asked to perform additional tasks or provide support outside of the specific scope of services, as reasonably requested by the Founder/Director, to advance the mission and daily operations of the organization.
